I. Academic Policies and Procedures
1.1. General
2.1.1. The college shall admit and train students entirely based on academic matters regardless of sex, age, race, ethnic background, nationality and other physical conditions.
2.1.2. English is the medium of instruction for all programs offered in the College.
1.1 Academic Calendar
- The academic calendar of the College consists of three terms for all programs.
- The study program shall continue from the beginning of September to the end of August each year.
1.2 Duration of the Study

The duration of duration of the program for all degree programs is four academic years for regular and five academic years for extension students.
1.3 Admission Requirement
The admission of students to the college is based on the requirements set by the Ministry of Science and Higher Education and/or the Kanenus college admission requirements for each program. The Kanenus college relies upon the principle of “First come, first served” in admitting students. After the completion of the selection procedures, students will be admitted to the Kanenus college by the Registrar Office of the College.
- Admission to the undergraduate Program
The minimum admission requirement for BA/BSc program is diploma/Level-IV/10+3 with COC certificate. The program is normally designed for those who have followed relevant and appropriate diploma/level-IV/10+3 studies at recognized HEIs. It is emphasized that a strong quantitative background is essential for success in this program. To obtain admission to the BA program in Accounting, applicants should fulfill the admission requirements established by Admissions Committee of KanenusCollege. In addition, the following are required:
- Candidates seeking to join Kanenus college BA/BSc program must possess diploma/level-IV/10+3 from an accredited institution and support their credentials with official transcript.
- Certified with respective qualification by Center of Competency established by TVET Agency.
- Possess two-years work experience in his/her qualification-diploma/level-IV/10+3.
- Candidates with High school leaving completion certificate falling within MoE’s annual cutoff point.
- First degree in any field of study.
1.3.2 Orientation
At the beginning of each academic year, all first year students are introduced to the history, objectives of the organization, Programs and specializations, course deliveries, tuition fees, services, facilities and campus regulations of the College. All first year students shall attend the orientation.
1.3.3 Placement
Students who are admitted to the College are placed to various departments and into specialization areas in collaboration with the office of the registrar. Students’ choices are the bases for the placement of candidates.
1.4 Registration
1.4.1 Procedures of Registration
Registration of students who are accepted by the College takes place in the head office (Asella), at the centers and auxiliary offices at regions before the commencement of every term and/or online using the official website(kanenuscollege.edu.et). Announcement concerning the schedule for registration will be made by the office of the Registrar through the students’ services office. The means of communication are notices, telephone, e-mail, social medias, etc.
Every student should note that the following are highly required
- A student must register in person or online. Where the student cannot register in person because of some difficulty, the Academic Programs Director or his representative can grant permission for registration by another person.
- Registration takes place on the date specified in the beginning of each term, and then for the next few days before the Tutorial session commences.
- Students shall normally register for the credit hours stated in the working curriculum.
- A student must pass a prerequisite course for a subject before he/she can register for an advanced course in the subject area.
- Registration for courses is done in consultation with faculty/departmental advisor and student support services.
- All courses offered by the College have course titles and course numbers. This information must be filled in official registration slip.
- Registration is completed when the signatures of the Advisor, Finance, the Registrar, and the stamp of the registrar’s office is placed on the official registration slip.
Late registration will be affected upon approval of the concerned offices of the College. Any late registration beyond the tolerated period is subject to penalty.
1.4.4 Student’s Identification Card (ID card)
A student registering at the Kanenus college is issued non-transferable identification card with a unique and permanent registration number. The card, which is a very valuable document and requires careful handling, is a means to services and facilities in the College.
The ID card must be:
- renewed every semester/time,
- used at all centers and auxiliary offices, however, the student shall circulate a clearance form if the ID card is lost, and returned to the Registrar Office when a student discontinues his/her study or graduates.
1.4.5 Tuition and Other Fees
Students are required to pay different fees for different services. The following fees specified below are liable to change depending on the objective conditions of the time.

Note: Evidence of lost diploma is provided only after producing valid evidence from a court of law.
2. Academic Rules and Regulations
2.1 Evaluation of Academic Work and Submission of Examination Results
3.2.1. The evaluation of a student who attends courses in the Kanenus COLLEGE is on periodic assessments using rubric to document the actual level of performance on various activities in order to provide information and strategies to better serve the students.
3.2.2. Evaluation of a student’s academic work shall consider seminar participation, assignments, course and research work, term papers, and exams as the major criteria.
3.2.3. All final subject evaluation results will be submitted to the Office of the Registrar before the set deadline through the Academic Vice Dean (AVD)/Faculty/Department Head. The AVD/Faculty Dean/Department Head will check whether the results are given according to the regulations of the College as stipulated above in article 3.2.2.
3.2.4. The final examination papers and project assignments of students should be kept for period of one semester/ term in the respective departments after the issuance of results for all programs and batches.
3.2.5.Requests for re-scrutinizing term examination papers shall be made in writing to the AVD, within a month after the issuance of results. An examination paper is Re-scrutinized by a departmental ad-hoc committee formed by the Department Head. In the event of any change in the original grade resulting from such re-scrutinizing, the fee paid by the student shall be refunded.
3.2.6. During examination sessions, invigilators must seriously watch out for cheating incidents. If a student is found cheating for the first time and if this is examined and confirmed by the Dean/Department Head, he/she will be given zero in that particular exam, respectively. If the student is found cheating for the second time, the coordinator of the examination will report the case to the Dean in writing. The Dean will report to the Office of the Students Services, where the case shall be examined and decided by Students’ Disciplinary Committee. The decision can be dismissal from the college. The Head of Student Services shall ultimately report the decision to the Academic Commission/executive committee/senate.
2.1.1 Grading and Marking Policy
Kanenus College Undergraduate program takes the following marking rubrics based on clearly stated learning objectives. The diagram below describes the learning outcomes in the left and the expected level of achievement in the right. Thus, all activities will be marked taking the rubric into account where the top score in the assessment type is one that fulfills these perspectives.

3.2. Incomplete (I), No Grade (NG) and Make-up Examination
3.3.1. Incomplete (I) is given to a student who has failed to fulfill the necessary requirements of the course (i.e. test examination, term papers, etc.) which are given value.
3.3.2. A student who has an ‘I’ in a course must submit a letter of application together with all the necessary evidences forfailing to take the examination/assignment to the AVD or center coordinator requesting for make-up examination. The AVD, on the basis of the decision of the Executive Committee, will permit students with legitimate reasons to take make-up examinations.
3.3.3. If a student is given an ‘I’ and if he/ she has an acceptable reason (s) for not completing the course, he/she will be given a make-up examination or a chance to fulfill other requirements within the first month in the following term.
3.3.4. No-Grade (NG) is given to a student who has registered for a course but has failed to take the final exam and assignment.
3.3. Repeating Course (s)
3.4.1. A student must repeat all courses in which he/she had scored less than and “C” in the undergraduate levels,He/She is allowed to repeat a course only once.
3.4.2. A student who is permitted to repeat a course must attend all activities pertaining to thecourse, unless the Academic Commission agrees to waive these requirements.
3.4. Academic Dismissal
Academic dismissal is a decision to disallow academic pursuit in institutions of higher education. Thus a student who fails to meet the passing requirement will be dismissed completely.
3.5. Promotion and Failing
3.6.1. A student registered for all programs shall graduate if he/she scores an average of minimum 2.00 points in the graduate and undergraduate programsin a cumulative weight for all courses.
3.6.2. A student registered for all programs cannot graduate if he/she scores below “C”, for undergraduate levels in any major course.
3.6. Withdrawal
3.7.1. A student registered for the College’s program may withdraw for academic or non-academic reasons. A student who finds it necessary to withdraw from the College must do so officially to maintain good standing and eligibility for honorable dismissal and/or possible readmission.
3.7.2. The Faculty Dean/Department head, in consultation with the AVD and academic advisor of the student decides whether the student is eligible to withdraw. When convinced, the Dean/Department Head issues a permission slip to the student. The student then files the permission slip with the Registrar and completes withdrawal procedures as outlined by that office. Where it is impossible to do this in person, it must be done by a letter duly signed by the student or person designated by the student.
3.7.3. A student who withdraws for non-academic reasons can apply for a readmission.
3.7.4. Withdrawals based on valid reasons shall be approved by:
- The respective Department Head, if the withdrawal is requested within 30 days afterregistration.
- The AVD/Dean, if the withdrawal is requested after 30 days.
3.7. Readmission
3.8.1.Readmission for dismissed students is possible only to the same department unless he/she wants to be transferred.
3.8.2. A student who had been dismissed for academic reasons shall be readmitted to the term and year he/she had been dismissed.
3.8.3. A student dismissed twice for academic reasons cannot apply for readmission.
3.8.4. A student who had been admitted to the College butwithdrew without completing a term’s course can apply for readmission.
3.8.5. Readmission must be approved by the Registrar officer.
3.8.6. No student who has been dismissed for academic reasons shall claim readmission as a matter of right.
3.8.7. All cases of readmission are possible if the previous records of the student fit with the running curriculum. Readmission cases shall be screened by the respective departments.
3.8.8. A student who wants to withdraw officially from the College shall apply to the Office of the Registrar according to the Academic Calendar.
3.8. Refund
- Refund for tuition fees will be made only upon written application for withdrawal from the College and as per the decision of concerned office(s). Students who do not formally withdraw, who are suspended for disciplinary reasons, or who leave the college when disciplinary action is pending are not eligible for a refund of any fee.The following table describes the tuition fee refund policy of KANENUS

3.9.2. Application fee and other fees are not to be refunded.
3.9. Transfer
3.10.1.A student that is admitted or readmitted can ask for and be allowed interdepartmental/inter center transfer.
3.10.2. The transferred student must take all the major courses that are required by the new department for graduation.
3.10.3. The transferred student can be exempted (only in the undergraduate program) common and related courses that he/she has taken in the previous department. No exemption is permitted to the department or institutions.
3.10.4. The department/center from which a student seeks transfer as well as the department to which he/she wants to be transferred must examine the transfer case and permit; and this permission shall be approved by the AVD/ Office.
3.10. Graduation
In order to graduate, the students must:
3.11.1.Achieve a minimum cumulative average score of all courses as stipulated in 3.6. of this article.
3.11.2. Score ”C” and above in each major course, at undergraduate programs.
3.11.3. Take all required courses in each term, otherwise exempted.
3.11. Awards:
- Graduating students with the highest cumulative average shall be awarded.
3. Library services
Students who joined Kanenus college could have two advantages regarding library usages;
3.1.1. The right to get access of hard copy books from his/her nearby regional or central offices either through borrowing (three pocket cards for graduate students and two pocket cards for undergraduate students are issued during registration) or reading at library offices.
3.1.2. The right to access e-library from our library
4.1.3. Three Hard copy books could be borrowed at a time, while the due dates are at maximum one month irrespective of the cases the students appeal for.
4. Student Services, Rights, Responsibilities and Code of Conduct
4.1 Guidance and Counseling Service
Students, especially newly admitted students, shall be well informed about the College’s social life, problems related to examinations and academic performance, psychological and personal problems, as well as how to solve other problems through contacting the Head of Student Services and other academic staff members.
4.2 Student Rights
Student shall have the following rights.
- No discrimination shall be made among students on the basis of nationality, sex, religion, color and physical disabilities.
4.2.2. The rights to forward opinions ask questions, debate and participate in discussion in any education process and other related activities.
4.2.3. The right to use libraries and other facilities according to the regulations set by the College.
4.2.4. The right to participate in educational and research related activities under the umbrella of their organization.
4.2.5. The right to assemble, to exercise freedom of speech, press and publication and distribution of materials.
4.2.6. The right to participate in committees such as discipline, recreation, part-time jobs, etc. through the coordination of the Head of Student Services.
4.2.7. The right to bring evidences and complaints against cases they are accused of or penalized for.
4.2.8. The right to be readmitted to the College on the basis of its regulations after quitting education due to different reasons.
4.2.9. The right to be evaluated on the basis of their academic performance and ability without any discrimination and obtain a copy of their grades at the end each academic term.
4.2.10. The right to apply for a re-evaluation of an examination paper on the basis of the regulation of the College.
4.2.11. The right to obtain an official document verifying the completion of the program of the College.
4.2.12. The right to acquire administrative support, guidance and counseling services in cases of academic of personal problems.
4.3 Student Responsibilities
A student of Kanenus college Information Systems will bear the following responsibilities.
4.3.1. A student is responsible to fulfill all the necessary requirements based on the program set for every course through tutorials, workshops, seminars, etc.
4.3.2. A student is required to complete all class activities, assignments, examinations, etc. given by the instructor according to the schedule.
4.3.3. A student must be present in person in the College so as to register and fulfill the necessary requirements before normal classes begin.
4.3.4. A student is responsible to take the advice of academic advisors, administrators, faculty and staff of the College.
4.3.5. A student is responsible for carefully handling and utilizing properly all educational materials and other properties of Kanenus college
4.3.6.A student is responsible for respecting the orders and advices of the administration.
4.3.7.A student is responsible for respecting the rights of others.
4.3.8. A student is responsible to replace lost or damaged materials for which he/she has signed.
4.3.9.A student is responsible to report to the appropriate authority about facts within his knowledge, which would appear to violate the code of conduct.
4.3.10. A student responsible to participate in all types of activities when required for the betterment of the College.
4.3.12. A student must keep his/her ID Card and show or return it to the authorities on request.
4.3.13. A student is responsible not to keep materials to be commonly used for himself/herself only.
4.3.14. A student is responsible for respecting the rules and regulations regarding, library, and classrooms/conference rooms.
4.3.15. A student is responsible to protect all Kanenus COLLEGE properties.
4.3.16. A student is responsible not to offend other members of the Kanenus COLLEGE through unacceptable dressing styles, ways of expression and other gestures.
4.3.17. A student is responsible for returning all the property of Kanenus COLLEGE and obtains official clearance before leaving the campus at the time of withdrawal and graduation.
4.3.18. A student is responsible to report upon the request of concerned authority of the College.
4.3.19. A student is responsible for any abuse of his/her freedom.
4.4 Breach of Code of Conduct (Misconduct)
The following are some of the activities that could be considered as misconduct.
- Misappropriation or destruction of material and property of the College or the community.
- Breach of any regulation issued by the authorities of the College.
- The spread or dissemination through oral or written means a defamatory material concerning the College or other members of the community.
- Disorderly conduct, assault, threatening or incitement thereto.
- Dishonest conduct such as theft, cheating or lying.
- Cheating in exams, plagiarism and related offenses.
- Disrupting regularly scheduled and legal education processes as an individual or a group.
- Posting and distribution unauthorized and illegal pamphlets and other written materials.
- Failure to keep faculties (like library, classroom,) clean and orderly or transferring accommodation faculties to others or changing rooms without the knowledge of the concerned authorities.
- Failure to use the books of the College properly such as removing some pages, writing on them, hiding them, etc.
- Writing on tables, walls, chairs, bulletin boards, and other equipment of the College, and tearing notices from bulletin boards.
- Allowing unauthorized person to use identification cards/ student password to gain access to the facilities of the College.
- Attempting to assault students, or other members of the College community.
4.5 Disciplinary Actions
Students Disciplinary Committee will decide on penalties to be considered for the violations indicated above. Some of the penalties are as follows:
- For repeated minor offenses,students shall be made to conduct self-criticism.
- Students shall be given warnings verbally or in a written form.
- Officially post on bulletin boards the name of the student and the disciplinary measures considered for the violation.
- Students shall be made to replace materials demolished or lost or pay the estimated cost.
- Students shall be suspended for one academic year.
- Students shall be completely suspended from the College for repeated and serious offenses.
- The Head of Student Services in consultation with other members of the Disciplinary Committee shall penalize students for violation of additional rules issued by the College.

The Committee shall be accountable to the executive committee and will serve for two years. If necessary, the members can be assigned for one more term.
4.7 Decision Making and Responsibility
- Decision can be made if more than 50% of the committee members are available.
- All decisions, apart from warnings, should be given to the defendant in a written from. Those decisions shall also be approved by the Kanenus College, Executive Committee.
4.7.3. The Head of Student Services shall follow up the effectiveness of the Decisions of the Disciplinary Committee.
4.7.4. It is the responsibility of every member of the College, whether a student or a staff member, to report to the appropriate authority any fact within his/her knowledge which would appear to show a serious violation of the code of conduct.
- Quality Assurance Mechanisms
To assure the quality of the program, the Department shall conduct annual internal quality audits and assess the availability, sufficiency and appropriateness of:
- Teachers/faculty staff and support personnel
- A range of learning resources and physical facilities designated for the program;
- Student support services;
- Consistent and transparent performance evaluations of faculty staff by students, peers and supervisors and actions taken following the evaluation results;
- Involvement of both internal and external professionals and potential employers in program evaluation and review processes;
- Regular reviews of student progress using clearly defined criteria;
- Faculty staff professional development and support programs;
- Delivery methods and assessment strategies; and
- Study and Research friendly environment.
- NB. This Handbook shall be amended or revised whenever the College management deems it necessary.
